Please read this Privacy Policy carefully before using PassportPilot. It explains what information PassportPilot processes, how that information is used, and the choices available to you when you use the website, form tools, AI assistant, and related features.

PassportPilot is an independent guidance tool, not an official government service.

Who We Are

PassportPilot is an independent web application owned and operated exclusively by Eric Daniel Rodriguez and Alex Daniel Rodriguez.

PassportPilot is not affiliated with the U.S. Department of State or any government agency.

Information We Process and Store

PassportPilot is designed to minimize data collection and long-term retention. Depending on which features you use, PassportPilot may temporarily process limited information to provide the service.

PassportPilot may temporarily process:

  • Form answers you enter into PassportPilot's form wizards so the app can generate PDF drafts and support related features
  • Chat questions and messages you submit when you use the AI assistant

PassportPilot may store limited technical or preference information:

  • Language preference data stored in your browser using browser-based storage technologies
  • IP address and basic technical request data used for security, abuse prevention, and site operation
  • Information you include if you contact PassportPilot directly by email

PassportPilot is designed not to maintain long-term storage of completed form answers in its application database.

How We Use Information

PassportPilot uses information only for limited, legitimate purposes related to operating the service.

  • Generate PDF drafts from the answers you enter
  • Provide AI-assisted responses when you use the chat feature
  • Support optional form-sharing or office-delivery workflows you choose to use
  • Remember your selected language preference
  • Protect PassportPilot against spam, abuse, misuse, and technical attacks
  • Maintain, troubleshoot, and improve the reliability of the service

PassportPilot does not sell personal information and does not use personal information for third-party advertising.

Form Drafts and Office Sharing

PassportPilot allows users to prepare information for supported passport forms and generate draft PDFs for review.

In many cases, PDF generation is handled as part of the app workflow without creating a long-term stored record of your completed answers in PassportPilot's application database.

If you use an optional office-sharing or delivery feature, the information you submit may be transmitted through PassportPilot and its service providers to the designated office or recipient so the draft can be delivered.

Chat Feature

If you use the AI assistant, the questions and messages you submit are processed so PassportPilot can generate a response.

AI assistant responses are generated with the assistance of third-party AI service providers. Your messages may be processed by those providers subject to their own privacy and data retention policies.

PassportPilot does not currently offer users a persistent in-app chat history. If PassportPilot's chat data practices materially change, this Privacy Policy will be updated.

Cookies, Local Storage, and Similar Technologies

PassportPilot uses limited browser storage and related technologies to support core site functionality.

  • Language preference is stored using browser-based storage technologies so PassportPilot can remember your selected language
  • Technical data may be used as needed to keep the app functioning, secure, and responsive

PassportPilot does not currently use advertising cookies or third-party behavioral advertising trackers.

Analytics and Future Data Practices

PassportPilot uses Vercel Web Analytics to understand overall website traffic and usage in an aggregated, privacy-conscious way.

PassportPilot does not use analytics to build advertising profiles or sell user behavior data.

This helps PassportPilot understand general site activity, improve the website, and maintain the service.

How We Share Information

PassportPilot may share limited information only in the following circumstances:

  • With service providers that help operate PassportPilot and deliver the features you use
  • When necessary to complete a form-sharing or office-delivery action you request
  • To protect the rights, safety, security, or integrity of PassportPilot, its users, or others
  • If required by law, legal process, or lawful government request

PassportPilot does not sell personal information to data brokers or advertisers.

Data Retention

PassportPilot aims to keep retained information limited and proportionate to the purpose for which it was collected.

Some information may be processed only briefly as part of providing the service, while certain technical, operational, security, or communication records may be retained for longer when reasonably necessary.

If PassportPilot's retention practices change materially as the service grows, this Privacy Policy will be updated.

PassportPilot uses reasonable administrative, technical, and operational measures designed to protect information and reduce the risk of unauthorized access, misuse, or disclosure.

That said, no website, transmission method, or storage system can be guaranteed to be completely secure.

PassportPilot operates in the State of Florida and takes its obligations under the Florida Information Protection Act seriously.

In the event of a security incident involving personal information under PassportPilot's control, PassportPilot will respond and notify affected parties as required by applicable Florida law.

Children's Privacy

PassportPilot may be used by parents, guardians, or authorized adults helping complete passport-related materials for minors.

PassportPilot is not designed as a child-directed social or entertainment service, and it does not aim to build advertising profiles on children.

Third-Party Sites

PassportPilot may link to official government resources and other third-party websites.

Once you leave PassportPilot and visit another site, that site's terms and privacy practices apply instead of PassportPilot's. You should review the privacy policies of any external websites you use.

You can choose whether to use PassportPilot's optional features, including the AI assistant and office-sharing workflow.

  • You can avoid using the AI assistant if you do not want to submit chat questions through that feature
  • You can avoid using the office-sharing feature and instead handle completed forms yourself
  • You can clear local browser storage and cookies through your browser settings
